Privacy & Cookie Policy

This notice explains how I collect, use and look after your personal information when you work with me or visit my website. I care deeply about privacy, dignity and consent. My intention is to keep things clear, grounded and respectful.

What information I collect
I collect the information you choose to share with me, which may include:

  • Your name and contact details (email, phone number)

  • Information you share with me during coaching sessions (your reflections, experiences and what feels alive for you)

  • Notes I make during or after sessions to support continuity and care

  • Payment and billing information when you purchase services or programs

 

How your information is stored
I store information in a few places:

  • A handwritten notebook that I keep securely in my home and destroy once full 

  • Google Drive for any digital notes or documents

 

I also use trusted platforms to run my practice:

  • PayPal, Stripe and GoCardless for payments

  • Flodesk for hosting checkouts and as an email platform

  • Wix to host my website and Client Portal

  • Airtable as a CRM to manage client information and communications

  • Tidycal for session booking and calendar management

  • Flodesk to manage email newsletters and communications

  • Form Engineer for intake forms and questionnaires

  • Google Workspace for email and calendar

  • Fathom for AI-assisted session notetaking and transcription

 

Each of these platforms has its own privacy and data protection policies. I do not store your card details myself

 

​Session recordings

If we agree to record a session for your personal reflection and integration, the recording will be stored securely and shared only with you. I keep recordings for up to 3 months after our work together ends, then permanently delete them. You can ask for them to be deleted sooner at any time.

 

A tool I use within Zoom is Fathom, an AI notetaking tool that records, transcribes and summarises our conversations. Fathom is GDPR-compliant and stores data securely on servers in the United States. I have opted out of Fathom using session data to improve their systems, so your data is used solely to generate notes from our sessions. You will always be asked for your consent before Fathom is used, and you can opt out at any time without it affecting the support you receive.

Why I collect and use your information
I use your information so that I can:

  • Provide coaching and support

  • Communicate with you about sessions, resources and programmes

  • Maintain appropriate records for continuity of care and professional standards

 

The legal bases for this are:

  • Our coaching agreement (contract)

  • My legitimate interest in running a safe, thoughtful and ethical practice

 

How long I keep your information
Different types of information are held for different lengths of time:

  • Coaching session notes: up to 3 years after we finish working together

  • Financial and payment records: 6 years (to meet HMRC requirements)

  • Session recordings: up to 3 months after we finish working together

 

After these periods, records are securely destroyed.

 

Sharing your information
I do not sell or share your personal information with third parties for marketing. The only situations where I may share information are:

  • If I am legally required to do so

  • If there is serious concern about harm and I need to seek support to keep someone safe

 

Your rights
You have the right to:

  • Ask for a copy of the information I hold about you

  • Request corrections if anything is inaccurate

  • Ask for your information to be deleted where appropriate

  • Withdraw consent for email contact or updates at any time
